Your Data

Privacy Policy

This page explains what personal information we collect, why we collect it, and how we look after it, including information submitted through our referral form.

1. Who We Are

This privacy policy applies to Northway Education Ltd ("Northway", "we", "us", "our"), based in Greater Manchester, UK. We provide bespoke one-to-one mentoring and alternative provision for young people aged 7–16, working in partnership with schools.

For any questions about this policy or how we handle your data, contact us at matthew.king@northwayeducation.co.uk or louis.hammond@northwayeducation.co.uk.

2. What Information We Collect

We collect personal information when you contact us directly (by email or phone) or submit our referral form. This may include:

  • Your name, email address, and phone number
  • Your school or organisation, if applicable
  • Details you provide about a young person you are referring, which may include their name, age, and information about the challenges they're facing
  • Any other information you choose to include when contacting us

3. Information About Young People

Our referral form is intended to be completed by a parent, carer, school staff member, or other responsible adult on behalf of a young person, not by the young person themselves. Where a referral includes information about a child, we treat that information with particular care, in line with our safeguarding responsibilities.

We only use this information to assess and respond to the referral, and to deliver our mentoring services if the referral proceeds. We do not use it for any other purpose.

4. Why We Use Your Information

We use the information we collect to:

  • Respond to enquiries and referrals
  • Assess whether our support is a good fit for a young person
  • Communicate with schools, parents, and carers about a referral or programme
  • Deliver and manage our mentoring and alternative provision services
  • Meet our safeguarding and legal obligations

Our legal basis for processing this information is our legitimate interest in responding to enquiries and delivering our services, and, where a referral proceeds, the steps necessary to provide those services under agreement with the referring school or family. Where information relates to safeguarding concerns, we may also process it to protect a child's vital interests or to comply with a legal obligation.

5. Who We Share Information With

We do not sell or rent personal information to anyone. We may share relevant information with:

  • The referring school's Designated Safeguarding Lead (DSL), where appropriate
  • Parents or carers of a young person we are supporting
  • Relevant statutory or safeguarding bodies, where we have a legal or safeguarding duty to do so
  • Service providers who help us run our website and handle enquiries (see Section 6)

6. How We Store Your Information

Our referral form is hosted through Netlify, our website provider, which securely receives and stores form submissions on our behalf. Access to this information is limited to Northway staff who need it to respond to enquiries and deliver our services.

We keep personal information only for as long as necessary for the purposes described in this policy, for example, for the duration of a referral discussion, or for the length of a mentoring programme plus a reasonable period afterwards for record-keeping and safeguarding purposes. We then delete or securely dispose of it.

7. Cookies

Our website does not use analytics or advertising cookies. We use Google Fonts to display text in our site's typefaces, which involves your browser making a request to Google's servers when you visit our site.

8. Your Rights

Under UK data protection law, you have the right to:

  • Ask us what personal information we hold about you and receive a copy of it
  • Ask us to correct inaccurate information
  • Ask us to delete your information, where we are not required to keep it
  • Ask us to restrict or object to how we use your information
  • Withdraw consent, where we rely on consent to process your information

To exercise any of these rights, contact us using the details in Section 1. If you are not satisfied with how we have handled your information, you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

9. Changes to This Policy

We may update this policy from time to time. Any changes will be posted on this page with an updated date below.
